As several Clemons-Associates team members have degrees in Journalism, Marketing, Advertising and MassComm, our team naturally believes in a popular mantra: "There is no such thing as over communication'.

With this guiding principle in mind, we would like to feature one of our former nonprofit clients - Water4

The attached downloadable PDFs represents their DONOR SPONSORSHIP element as well as a Q1 DONOR REPORT.

Clemons-Associates celebrates Water4's awesome job on proactive communication and suggests DONOR REPORTS (cleverly branded and distributed quarterly) cover the following points keeping contributors/stakeholders informed, engaged and inspired.

  • Message from the CEO

  • Statistics

  • Financials

  • Impact on Lives

  • At-a-Glance Graphs

  • KPIs, Metrics and Milestone

  • Compelling Visuals

Productions

Quarterly reports can have several names. Water4 chose 'Partner Update' so as to inclusively update stakeholders which represent Donors, Lobbyists, Volunteers, Board, Staff, Partners, Advocates, Vendors and more.

Water4 has deployed an fundraising event called Walk4. As they distributed their PARTNER UPDATE, they also include a soft appeal (giving opportunity) through a sponsorship piece allowing the market to consider/take action on sponsorships. Brilliant!

IMPERATIVES:

  • Choose a communication frequency; your donor base will look forward to updates

  • Cover key points succinctly

  • Re-enforce your brand, story, values and team's competencies

  • Emphasize your compelling Case for Support

  • Highlight/feature constituents and impact (case studies)

  • Connect updates to upcoming events and/or campaigns

  • Err on 'mass communication' (large audience); digital assets can be distributed to Donors, Board Members, Advisors, Consultants, Lobbyists, Partners, Legislators, Media and more

Bottom line:

Nonprofit organizations are choosing to go digital representing nearly every communique. Clemons-Associates recommends the only printed element during a campaign phase be a branded folder used in solicitations, house parties and donor leave-behinds. The beauty of Quarterly Reports is, digitally distributed, you can affordable and effectively reach, inform, engage and inspire a wide audience thus expanding your base of advocates, contributors and endorsers.

A Clemons-Associates team member is available to help you/your organization is this important exercise. Upon request – and without charge – one of our associates can present to the Board/Executive Staff: a) Elements of a Successful Campaign; b) Gift Table and Gift Pyramid examples; c) Sample exercises in Donor Profiling/TOP 100 list building; d) Training/Coaching tactics which prepare volunteers for the marketplace (campaign execution); e) campaign budget/cost campaign considerations.
